Providence St. Joseph Health is calling a Sr. Administrative Assistant PSJH to our location in Renton, WA.
We are seeking a Sr. Administrative Assistant PSJH to responsible for providing ongoing administrative support services of a multipart nature for a middle management position and/or a group of professionals within PSMS. This position performs work that is varied and generally secretarial in nature. The activities of this position include managing calendars, correspondence, meeting and agenda preparation and other logistical matters. The work may also include some special projects. It is anticipated that the person holding this position will communicate regularly with many of the organization’s management team and will represent their supervisor in a positive and professional manner.
The Senior Administrative Assistant will have regular interaction with managers, supervisors, and staff of PSJH; the work may also involve interactions with vendors, representatives of government agencies, consultants, and other external contacts. Successful performance in the position will require tact, and diplomacy; respect for confidentiality; and general knowledge of organizational operations, procedures, and staff.
In this position you will have the following responsibilities:
Develops daily plans to carry out assigned activities and projects.
Coordinates the office of the individual(s) they support. Assures adequate inventory of supplies, timely scheduling of activities, presence and ongoing use of appropriate recordkeeping systems, and effective work flow through the office.
Performs secretarial functions in support of meetings as assigned.
Support activities include preparation of draft agendas; electronic distribution of meeting materials; documentation of meeting discussions, and coordination of follow-up reports as appropriate.
Schedules meetings (group and individual); makes travel arrangements as necessary.
Uses word processing software, spreadsheet software, and various presentation software options to complete assignments with timeliness and accuracy.
Position provides appropriate referrals to matters as they arise, or informs their supervisor(s) when a situation warrants direct attention.
Responsible for basic planning activities related to secretarial and project-based assignments.
Responsible for recommending efficient and accurate procedures to address work flow through their area of responsibility.
Required qualifications for this position include:
High School Degree
At least 4 years of office experience
At least 1 year working directly for a manager
Have a working knowledge of organization programs and services.
Have a basic understanding of a variety of service support roles and responsibilities, and how they inter-relate; the skill and ability to plan, prioritize, complete assignments in a quality manner; and the ability to interact successfully with a wide range of individuals and groups.
Ability to establish and maintain confidentiality
