Providence St. Joseph Health is calling a Senior Executive Assistant - Religious Community to our location in Renton, WA.
We are seeking a Senior Executive Assistant - PSJH to be responsible for providing ongoing administrative, planning and executive support of a highly complex and confidential nature for the Sisters of Providence. The position assists the Provincial Leader, Council Members, Provincial Treasurer and Provincial Secretary (leadership team) and the Provincial Administration staff. Provides management and support to the leadership team in meeting specialized goals and contributes to the achievment of the Provincial Administration organization's vision, mission and values.
In this position you will have the following responsibilities:
Oversee the requirements and plans needed to carry out assigned tasks, projects and activities for the leadership team members.
Perform administrative functions in support of the leadership team meetings which includes timely collection and preparation of draft agendas; prioritizing items in consultation with the provincial secretary to finalize agendas; dissemination of meeting materials; coordination of meeting records, reports, minutes etc.
Assist with the operations of the Provincial Administration office and work collaboratively with office staff to ensure the provincial and leadership team members have the information and materials needed in advance of meetings, conferences, events, etc.
Initiate and compose correspondence, transcribe minutes for meetings, conferences, call and other gatherings and prepare reports for presentation and publication.
Act as the Human Resources representative for the leadership team.
Communicate clearly and listen with openness: consistently go out of the way to listen, understand and respond to the needs of others.
Support the leadership team through positive communications and relations with internal and external contacts in an environment that is open and inviting. Responds to requests and inquiries regarding matters related to Mother Joseph Province's ministry for the purpose of communicating confidential information which requires direct interaction with the provinical, council and leadership team members.
Inform the provincial secretary when a situation warrants her immediate attention while exercising prudent judgement and prioritization when handling incoming and outgoing information.
Required qualifications for this position include:
Bachelor’s degree, or the equivalent combination of education and experience.
6 years of closely related experience, with at least 3 years of experience supporting a leadership role.
Thorough knowledge of system-wide programs, services and executive leadership roles..
Have seasoned, extensive knowledge of service support roles and responsibilities and how they interact; the skill and ability to plan, prioritize, complete complex assignments in a quality manner; and the ability to interact with a wide range of individuals and groups in the organization’s leadership.
Ability to establish and maintain confidentiality
Preferred qualifications for this position include:
Strong computer skills utilizing Microsoft Office and Providence St. Joseph Health system applications
Ability to work independently as well as take direction from multiple people in a fast paced environment
