Providence Health & Services Executive Assistant in Renton, Washington
Providence St. Joseph Health is calling an Executive Assistant to our location in Renton, WA and/or Irvine, CA.
We are seeking an Executive Assistant who will be a collaborative partner across our Providence Formation Institute and Mission Leadership Institute teams. The Formation and Mission Leadership Institutes provide dynamic programing for all caregivers as they journey to becoming Mission-centered in their various roles. This Executive Assistant position will enjoy work that is varied, providing both executive support in calendaring, travel planning and expense reporting as well as special projects based on departmental needs. It is anticipated that the person holding this position will network with many of the organization's leadership and will represent their department and organization in a positive and professional manner. The ideal candidate is action-oriented and flexible to support the positive and Mission-centered environment of the departments and is enthusiastic about this most meaningful work and its impact on our caregivers.
Schedule: Hybrid - remote and in-office schedule *subject to change depending on departmental needs
In this position you will have the following responsibilities:
Independently and consulting with supervisor, develop plans and establish methods needed with regard to planning, organizing, and scheduling work and assigned projects with multiple executives and across departments.
Schedule and maintain executive meetings, calendaring and travel, while being pro-active, anticipating needs and troubleshooting conflict as it arises.
Work both independently and collaboratively with your teams while performing administrative functions in support of meetings and special projects as assigned. Support activities include timely preparation and production of meeting and event materials, planning of on/offsite venue logistics and maintaining records as needed.
Enjoy positive working relationships with and respond to contacts from both internal colleagues and external customers (such as executives, guest faculty and vendors).
Work collaboratively with teams to fulfill departmental and organizational goals and objectives.
Position provides appropriate referrals to matters as they arise, or informs their supervisor(s) when a situation warrants direct attention.
This position actively assists in contributing to the achievement of the organization's Mission, vision and values.
Required qualifications for this position include:
Coursework/Training, 2 years of university or college training in English, Liberal Arts or related subjects; or graduation from a technical program in Secretarial or Office Support Services or equivalent education/experience.
4 years experience as an administrative assistant or executive assistant, including up to 3 years working directly for a manager or executive.
