Providence Executive Assistant VP SCM in Renton, Washington

Description:

Providence St. Joseph Health is calling an Executive Assistant VP SCM to our location in Renton, WA.

We are seeking an Executive Assistant VP SCM who will be responsible for performing ongoing administrative and secretarial support services of a complex, and often confidential, nature for a senior management position within PSJH. This position performs work that is varied and generally administrative and/or project-oriented. The activities of this position include managing calendars, correspondence, meeting and agenda preparation and other logistical matters, and special projects. It is anticipated that the person holding this position will network extensively with many of the organization’s management team and will represent their supervisor in a positive and professional manner.

The Executive Assistant will have extensive interaction with managers, executives and staff of PSJH; and with vendors, representatives of professional associations, government agencies, consultants, and other external contacts. Successful performance in the position will require tact, and diplomacy; respect for confidentiality; and extensive knowledge of organizational operations, procedures, and staff.

In this position you will have the following responsibilities:

  • Work with supervisor to develop plans needed to carry out assigned activities and projects. Exercises independent judgment with regard to planning, organizing, and scheduling work.

  • Perform administrative functions in support of meetings as assigned. Support activities include timely collection and preparation of draft agendas; dissemination of meeting materials; coordination of meeting records, evaluations and follow-up reports.

  • Schedule meetings (group and individual), travel, and outside commitments; manages supervior's calendar including scheduling variety of meetings, resolving conflicts that arise, reviewing attendance responses, etc.

  • Use word processing software, spreadsheet software, and various presentation software options to complete complex assignments with timeliness and accuracy. Exercises independent judgment and decision-making in handling incoming and outbound information and material.

  • Provide appropriate referrals to matters as they arise, or informs supervisor when a situation warrants direct attention.

  • Responsible for planning activities related to a wide variety of administrative, secretarial and office-related assignments. Also responsible for developing efficient and accurate procedures to address work flow through their area of responsibility.

  • Coordinate with other departments (i.e., Real Estate, Information Services, etc.) for staff additions and departures including securing required equipment, space, supplies, etc., as well as office moves.

  • General office support functions including generating and updating reports, auditing monthly expenses, ordering supplies and distributing incoming mail.

Qualifications:

Required qualifications for this position include:

  • Associate's Degree in English, language arts, secretarial or office support services or equivalent educ/experience

  • 4 years experience as an administrative or executive assistant

  • 2 years experience supporting a manager or executive

  • Thorough knowledge of organization wide programs and services

  • Seasoned level of knowledge related to a variety of service support roles and responsibilities and how they inter-relate; the skill and ability to plan, prioritize, complete complex assignments in a quality manner; and the ability to interact with a wide range of individuals and groups at all organization levels

  • Ability to establish and maintain confidentiality
